A CRM for admissions. Every time a parent asks about the school — a walk-in, a call, a website form, an ad click — that interest is captured, followed up, and tracked until the child is admitted or the lead is closed.

What it does

The office records each prospective parent's interest as an enquiry, assigns it to a counsellor, and follows it through a simple funnel — from first interest to enrolled student. When a lead says yes, it converts straight into a real student record, so the whole story stays connected from the first call to admission day.

Because every enquiry remembers where it came from, the school can finally answer the question that matters for marketing spend: which channel actually brings in admissions?

Inside the module

Capture an enquiry

Log the prospective student's name, date of birth and class of interest, plus the guardian's mobile and email. Each enquiry is assigned to a staff member to own.

Lead sources

Tag how each enquiry arrived — walk-in, website, referral, Google Ads, social media, newspaper. The single field that tells you which channel converts.

Follow-up log

Every call, SMS, email, WhatsApp or visit is recorded with a note, who did it, and the next-call date — so no lead ever slips through.

The pipeline

Each enquiry moves through clear stages — Live, Follow-up, Admitted or Closed — so the office sees the whole funnel at a glance.

Admission form

One form captures the full student record — details, photo, category, guardians, documents — and assigns the next admission number automatically and in sequence.

Convert to student

Mark a won lead Admitted and it links to a new student record and an enrolment for the active year — first enquiry to enrolled student, fully traceable.

How an admission flows

Interest comes in

A parent walks in, calls, or responds to an ad. The front office logs an enquiry and tags its source.

The counsellor follows up

Calls and messages are logged on the enquiry's timeline, each with a next action and date.

The lead is won

The enquiry is marked Admitted and the office opens the admission form for the new student.

The student is created

An admission number is assigned, an enrolment is created for the active year, and documents and the parent login are set up.

Why it matters for marketing

Because every admission carries its source, the school can see — for example — that 40 enquiries came from the Instagram campaign and 12 were admitted. That's measurable return on ad spend, and the clearest argument for where to invest next.

On the roadmap: public enquiry forms — a shareable web link or QR code parents can fill themselves, landing straight in this funnel. Not live yet.
